Terms of use

PTOps is software for personal trainers and the clients they coach. These terms describe what the software is for, what we are responsible for, and what you are.

What PTOps is

PTOps is administrative software for coaching businesses. It helps a trainer run consultations, scheduling, programming, check-ins, nutrition and reviews in one place.

PTOps does not coach you. Your trainer does. PTOps prepares, organises and drafts; every coaching decision — what you train, what you eat, what changes — is made by your trainer, who is responsible for it.

Accounts

You are responsible for what happens under your account and for keeping your sign-in details to yourself. Tell us if you think someone else has access.

A coaching business is responsible for the people it gives access to, for the accuracy of what it records about its clients, and for having the right to record it.

If you are a trainer

You are the coach. You are responsible for your coaching decisions, for the programs and nutrition guidance you give, for working within your professional scope and qualifications, and for whatever insurance and registration your work requires.

You are responsible for having a lawful basis to hold information about your clients, for telling them what you hold, and for handling their requests about it.

Your clients contract with you, not with PTOps. PTOps is the software you run your business on, and your client records are your business’s records. Some things are standardised across every business using PTOps — which check-in questions are asked, which health measurements may be read from a phone — and those are described on the privacy page so your clients can see what you did and did not choose.

Material PTOps prepares for you — drafts, summaries, suggested priorities — is assistance. Sending it, acting on it, or letting it go automatically is your decision, and PTOps records that the decision was yours.

Health, fitness and nutrition information

Nothing in PTOps is medical advice, diagnosis or treatment. Training and nutrition information is general coaching information provided through your trainer. It is not a substitute for care from a doctor or another qualified healthcare professional.

If something hurts, if you feel unwell, or if you have a condition that affects exercise or diet, speak to a doctor. Do not delay or ignore medical advice because of something you read in PTOps.

In an emergency, contact emergency services. PTOps is not monitored, and nothing you enter into it reaches anyone urgently.

Bloodwork and body composition

Where PTOps displays laboratory or body-composition results, it reports what the laboratory measured, the range that laboratory published, and how that laboratory flagged the result. It does not apply its own thresholds and does not tell you what a result means about your health.

Interpretation of your results belongs with a healthcare professional. Where a result falls outside a laboratory’s range, PTOps says so and directs you to a doctor. Educational information about what a marker measures is not an opinion about your result.

AI-assisted material

PTOps uses software assistance to draft, summarise and organise. Anything produced that way is labelled, and reaches you only after your trainer has reviewed it or has deliberately chosen to let that category of routine material go automatically.

Assisted material can be wrong or incomplete. It is a starting point for your trainer’s judgement, not a replacement for it.

Acceptable use

Do not use PTOps to:

  • access information about people you do not coach, or accounts that are not yours;
  • upload someone else’s health information without their agreement;
  • break the law, or help someone else to;
  • interfere with the service, probe it for weaknesses without permission, or attempt to get around the limits built into it;
  • resell or rebadge PTOps as your own software without an agreement with us.

If you find a security problem, tell us rather than exploiting it. We will not pursue anyone who reports a genuine issue responsibly and gives us a reasonable chance to fix it.

Payment

PTOps does not currently charge for the service and does not process payments. When it does, the price, billing cycle, renewal and cancellation terms will be set out before you are asked to pay, and these terms will be updated first.

Payments between a trainer and their client are a matter between those two people. Where PTOps eventually handles such a payment, it does so as software for the trainer’s business, not as a party to their agreement.

Connected services

PTOps can connect to services you already use — a calendar, your phone’s health data. Those services are run by other companies under their own terms.

They can change, break, restrict access, or stop working, and PTOps cannot prevent that. Where a connection fails, PTOps is built to say so rather than to guess: an unavailable calendar means availability is not recalculated, not that a coach is free. Nothing PTOps does to a connected service is a substitute for checking it yourself.

Your content and ours

What you put into PTOps stays yours. A coaching business owns the client records, programs and notes it creates. You give us permission to store and process that material for the purpose of running the service for you, and for nothing else.

PTOps — the software, its design and its name — remains ours. Using it does not transfer any of that to you.

Availability

PTOps is in active development. Features described on this site may be incomplete or switched off, and the service may be unavailable at times. We do not currently offer a guaranteed level of service.

Keep your own copies of anything you cannot afford to lose. We take care with your data and we do not promise it can never be lost.

Ending your use

You can stop using PTOps at any time. A coaching business can remove access for the people it added.

We may suspend or end access where an account is being used in the ways listed under acceptable use, where doing so is necessary to protect other people or the service, or where we are required to. Where it is reasonable to warn you first, we will.

Ending access does not by itself delete information — see the privacy page, which describes plainly what PTOps can and cannot currently remove.

Responsibility

PTOps is administrative software. We are responsible for providing it with reasonable care and skill. We are not responsible for coaching decisions, for training or nutrition outcomes, or for injuries arising from exercise — those rest with the trainer and the person training.

Some responsibilities cannot be excluded by law, and we do not attempt to exclude them. Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not permit us to limit.

Changes to these terms

We will update this page as PTOps changes — particularly the sections above that describe features not yet switched on. Continuing to use PTOps after a change means the updated terms apply.
